We are currently seeking a highly skilled, customer-focused Customer Service & Project Coordinator with experience in the print and signage industry to join our growing team.

Responsibilities

Serve as the primary point of contact for customers, managing projects from initial inquiry through production, delivery, and installation.
Manage inbound and outbound customer communications in a professional and timely manner.
Review customer requirements, clarify specifications, and recommend appropriate products, materials, and solutions.
Coordinate and manage multiple projects simultaneously while ensuring deadlines, budgets, and quality standards are achieved.
Prepare accurate estimates and quotations based on project specifications, materials, production requirements, and installation needs.
Work closely with production, design, installation, and vendor partners to ensure projects are completed efficiently and accurately.
Develop project timelines, monitor progress, and proactively communicate status updates to customers.
Identify opportunities to recommend additional products and services that add value to customer projects.
Build and maintain strong customer relationships through exceptional service and follow-up.
Ensure all job specifications, artwork requirements, instructions, and production details are complete and accurate.
Maintain a high level of attention to detail while following established production, quality control, and finishing procedures.
Resolve customer concerns professionally and efficiently while maintaining a positive customer experience.
Monitor public and private tender boards, procurement portals, and bid opportunities for projects aligned with Reprodux's services and capabilities.
Review tender requirements and identify opportunities for management review.
Prepare detailed cost estimates and pricing for tender submissions.
Coordinate with management, production staff, vendors, and installation partners to gather information required for tender submissions.
Assist with the preparation and submission of tenders, RFQs, and RFPs, ensuring all pricing, documentation, and deadlines are met.
Maintain records of bid opportunities, submissions, and outcomes.
Follow all Reprodux procedures, policies, and quality standards.
Qualifications

Minimum 3–5 years of experience in the digital print, large format, signage, or graphics industry.
Previous experience in customer service, estimating, project coordination, or project management within the print industry.
Strong understanding of print production processes, materials, and finishing methods.
Experience preparing estimates and quotations for print and signage projects.
Strong problem-solving skills with the ability to identify practical and cost-effective solutions.
Excellent written and verbal communication skills.
Strong organizational skills with the ability to manage multiple projects and priorities in a fast-paced environment.
Advanced computer proficiency and ability to learn industry-specific software.
Strong mathematical and estimating skills.
Experience reviewing, pricing, estimating, and coordinating submissions for tenders, RFQs, and RFPs is considered a strong asset.
Experience in large/grand format printing and signage is considered a strong asset.
Professional and courteous phone manner with excellent listening and customer service skills.
Ability to communicate technical information and present solutions clearly to customers.
Self-motivated, resourceful, and adaptable in a dynamic work environment.
Proven ability to work independently and as part of a team.
